The practical arrangements below are intended to facilitate the smooth running of the OHS Forum on 15 May 2024.

Before registering, please read this file carefully.

Applications to book an exhibitor stand must be made online until 17 April 2024.

To enable staff and/or other hosts of the exhibitors’ stands fast access to the Forum, they must be registered as visitors. Exhibitors will receive their badges on 15 May 2024 only. This procedure is necessary for the smooth running of the event.

Only exhibitors operating in the field of safety, health and/or well-being at work will be accepted.

The number of stands is limited to a maximum of 100. Stands will be allocated on a first-come, first-served basis. In the event of high demand, exhibitor registration may be closed before the deadline. Registration and the basic stand are free of charge.

Once booking requests have been confirmed, the list of exhibitors will be published on the website. Should some booking requests not be accepted, exhibitors will be notified by email.

Should exhibitors cancel their participation after the registration deadline, the organisers will reserve the right to deny them access to future editions of the Forum.

A basic stand with standard equipment will be provided free of charge to exhibitors.

Basic stand (3x3m):

  • 1 high table (xxx)
  • 2 stools

LUXEXPO wifi is available free of charge on the venue.

Exhibitors may also order optional extras for a fee.

Paying options (order):

Extension of stand:

  • Single stand extension: 3 additional linear metres, i.e. 6x3m in total; 1500 € excl. VAT
  • Double stand extension: 6 additional linear metres, i.e. 9x3m in total; 3000 € excl. VAT

Equipment hire:

  • Additional stools; unit price 25€ excl. VAT
  • 55-inch LCD screens, delivered on stand, with speakers included; unit price 295 € excl. VAT
  • Displays for brochures; unit price 50€ excl. VAT

Prices for the other paying options will follow shortly.

Exhibitors who order paying options (see table above) will receive an invoice from the event agency. They are requested to settle the invoice as soon as possible.

The bank transfer will serve as the final confirmation of the order. If payment is not received, the order will not be processed.

Exhibitors are free to bring additional equipment. Organisers will, however, not be responsible for any installation or technical management. Details of assembly and dismantling will follow shortly.

One parking card per exhibitor will be handed out at the main North entrance of Luxexpo The Box on 14 May 2024, respectively on 15 May 2024, to allow access to the exhibitor car park on the days of assembly and dismantling as well as on the day of the event. Exhibitors are requested to display their exhibitor parking card in the exhibitor car park.

 

All exhibitors’ equipment must be stored on their stand. Exhibitors may store a few boxes under the high table provided. Since the areas are not supervised or guarded, the organisers remind exhibitors that they are responsible for their own equipment as well as any hire equipment entrusted to them during the opening hours of the event.

The organisers require exhibitors to ensure the presence of at least one person on their stand during the opening hours of the OHS Forum. Should exhibitors fail to comply with this requirement, the organisers reserve the right to exclude them from future Forum editions.

Catering facilities (coffee corner, food truck, etc.) will be available during the event.

Exhibitors who wish to perform educational events or animations need to submit their requests together with a description of the events, including photos and sizes of the animations, to prevention.aaa@secu.lu.

Once all requests have been received, events/animations will be selected according to the educational nature of the projects and availability of pitches.

Interested exhibitors will be contacted following their request to settle the terms and conditions.

To ensure that the event is a success for exhibitors too, they are advised to inform their networks (customers, staff, friends, etc.) and to share the event via their communications media (website, social networks, newsletter, etc.).

This file considers the current health situation. Should the organisers need to adapt the layout of the areas and implement health measures in force at the time of the Forum, they will keep informing the exhibitors of the latest developments in the running of the event.
